2. Personal data we process
Maison Amanati processes personal data either because you use our services, such as our website, or because you’ve chosen to share that data with us directly. If you provide personal data about someone else, we assume that person has given their consent. Sharing such information is your responsibility.
The types of data we may collect include:
– First and last name;
– Address;
– Phone number;
– Email address
– Photo;
– Any questionnaires you choose to fill out voluntarily
All this information is stored in your personal digital client file.
Since people are captured in photos, Maison Amanati may also process special or sensitive personal data as defined by the General Data Protection Regulation (for example, your race or ethnicity may be visible in an image). By choosing to be photographed, you give us permission to use these photos for the purposes described.
Maison Amanati does not intend to collect personal data from anyone under the age of 16 without parental or guardian consent. However, we cannot verify the age of our website visitors, so we encourage parents to be involved in their children’s online activity if they want to prevent data from being collected without permission. If you believe we have collected personal data from a minor without the required consent, please contact us using the details above and we will remove the information. You are responsible for the accuracy of the information you provide to us and must inform Maison Amanati of any changes.
3. Reasons for processing
Maison Amanati processes your personal data for the following purposes:
– your phone number and email address are used to contact you in order to provide our services (for example: scheduling a photo shoot);
– your name and email address are used to process your payment;
– your address and email are used to deliver goods or services to you;
– your photos are used to carry out the assignment and complete our portfolio;
– your name and email address may be used to send you a newsletter with updates or news we think you might find interesting, either because you’ve given explicit permission or because we have a legitimate reason to believe you’d be interested;
– If we ask for your details to enter a contest or receive a freebie, they’ll only be used for that purpose, unless you give additional consent for marketing. Every marketing email will include the option to unsubscribe.
4. Automated decision-making
Maison Amanati does not make decisions based on automated processing, meaning without any human involvement, that could have a significant impact on individuals.
5. Data retention period
Your personal data is not kept any longer than necessary to achieve the purposes for which it was collected, as described above. Billing information is stored for 7 years, as required by accounting regulations. Photos taken during photo shoots are kept indefinitely, as they form part of our portfolio.
6. Security
Maison Amanati is structured in a way that ensures your data is well protected. Our systems are secured with password protection, and everyone we work with is informed about and committed to our privacy policy. In doing so, Maison Amanati makes every reasonable effort to safeguard the confidentiality of your data.
7. Sharing personal data with third parties
Maison Amanati shares your personal data with third parties only when necessary to carry out our agreement with you, or to comply with a legal obligation (for example: with our accountant). When we work with companies that process your data on our behalf (such as for printing photo albums or photo prints), we sign an agreement with them to ensure the same level of security and confidentiality as promised in this privacy statement. Maison Amanati remains responsible for how your data is handled in these cases.
We are not responsible for how your data is processed by third parties, who do so on their own behalf and not under instruction from Maison Amanati.
Maison Amanati may also be required to disclose or process your data in order to comply with a legal obligation, or in response to a request from supervisory authorities or government agencies.
For third-party access to cookie data, please refer to our cookie statement.
8. Accessing, modifying or deleting your data
You have several rights when it comes to your personal data. You can access it, correct it, or request its deletion. You can also ask us to send you a copy of the personal data we hold about you in a digital format, or to transfer it to another organization you specify. If any of the data we hold is incomplete or incorrect, we are required to update or correct it. You also have the right to withdraw any consent you’ve previously given, or to object to the way Maison Amanati processes your personal data. If there is no longer a valid reason for us to store or process your data, you may ask us to delete it. To exercise any of these rights, simply contact us using the contact details listed above. To ensure the request is really coming from you, we may ask you to include a copy of your ID. We aim to respond to your request as soon as possible, and always within 6 weeks. Submitting a request is free of charge, unless it is clearly unfounded or excessive, in which case we may charge a reasonable administrative fee. If, after submitting a request, you still feel that your rights have not been respected, you can file a complaint with the Belgian Data Protection Authority.
